Complaint Letter to Higher Authorities

A complaint letter is written to make authorities aware of the problems that you are facing. In this sample, the customer of a bank is complaining about the bad customer service. The customer is annoyed about complaining the same issue to different persons in the bank. Even if he has complained several times, his problem is not solved. The customer is explaining the entire problem of credit card received with all the relevant facts. The letter of this sort can act as a proof in legal matters. This letter has to be drafted with a cool head.

Your anger and aggression should not feature through the tone used in the letter. The tone used should be soft and polite. You have to handle the situation tactfully while writing the letter. The letter is a platform to register your complain, you can do that by giving complete information about the problem.

Dear Mr. Jones:


I have been a loyal customer of your bank for last twenty years. The bank has given excellent service to me for all these years. I received a credit card from your bank on May 02, 2008. It was unexpected as I had not applied for a new one.

I went to the local branch of your bank to return it on the day it arrived. The bank staff did not co-operate and insisted that the card was applied for by me and hence, I needed to keep it. I kept telling them that I had not applied for one and do not require it as I already have one. After wasting a lot of time, I was told that you have to send the card to the credit card division. I sent the card to the division, the very next day. Today, I got a letter with the card saying that you had applied for the card through a teller machine.

I'm sure that I have never applied for the card. The bank is unnecessarily giving the card so that it can levy charges on the service of the card and get money from customer. This is wrong and I can sue the bank. I don't want to go that extent. Therefore, I'm writing this letter to tell you that I do not need that card .I'm sending it back to the credit card division with this letter.

Please look into this matter as soon as possible. If that does not happen then I need to go to the consumer forum with my appeal. Waiting for your reply.
