Appointment coordinators play an important role in liaising between the organization and its external associates and customers. They act as the face and voice of an organization and help the external associates in initiating businesses with the organization's heads. They communicate with representatives of other organizations and fix up meetings with the concerned person of the appropriate departments. The job duties also entail receiving calls, meeting representatives and responding to letters, phone calls, and emails. The incumbent must ensure there is no overcrowding or overlapping of appointments so that the delegates are able to provide total attention and time to each appointment. In addition, the person may perform secretarial functions such as receiving and greeting customers, record keeping, taking down minutes of the meetings, maintaining visitor's register and correspondence.
