How to Write a Professional Condolence Letter

The loss of a beloved one is always very tough on people. The emotions and the pain can really hurt them mentally. In such times, a professional condolence letter from the work place can ease the pain by sharing it. It is always nice to know for an employee that his bosses and colleagues in the workplace share his or her sorrow.

This letter is formal so use the official company letter head. But the language used does not have to be formal, as you are addressing a personal issue. The language should be personal. The letter should be kept as simple as possible, because the reader is not in a state to read complex letters. Share some fond memories of the dearly departed, and state some good qualities you noticed about them that will help set a good state of mind of the reader. The letter should not be long and drawling.

Tell the reader that you share their sorrow, and do not forget to mention his family. Even though, the letter is from you, also mention that all other employees also share their sorrow, possibly at the end.

For your better understanding, here is a sample of a professional condolence letter. This letter is just one style you could follow, and in case of a similar scenario, use the letter by making the necessary changes.

Dear Robert,

Please accept my most heartfelt condolences at the loss of your brother Sean. It is even hard for me to imagine the sorrow your family must be going through, right now, at the loss of such a young soul. I fondly remember interacting with him at the annual Christmas party, and he always came across so funny and full of energy. Sean had that rare quality to make everyone laugh around him at the drop of a hat.

His loss must be particularly hard on you, as you were very close to him. But I would like you tell that, we, here at Delia Steel share your sorrow as Sean was like a brother to all of us. He was always the life of the party at the company's yearly Christmas bash, and he always made it a point to greet everyone, whenever he came to the office to pick you up. His shocking demise has saddened all of us here very deeply. The void he left behind will be very hard to fill, but you should try your best to overcome this great sorrow for the sake of your family.

Though, I may not have known him on a daily basis, I felt this instant connection whenever I interacted with him. I was even looking forward for him to work in our company in the future, and had even spoken to him about it. From whatever little I knew of him, he would have wanted you to gather yourself and take care of the family. And he also would have wanted you to not to languish in sorrow for long, and remember him for the joy he spread amongst all.

Please pass on my sincerest condolences to your parents as well, and tell them that we here at Delia Steel mourn the death of their son Sean.

Sincere Condolences,
Jacob Hensley
