Dissatisfaction or grievance letters are good way to share if you are not satisfied about something. Well there are a lot of ways to express your grievance via mails or letters or you can even resolve the issue verbally. These letters can be a constructive feedback to the company you are working in or about a product you have been using. They will enable the company to work on its weak areas. However, you should not only include something that you are not happy about but also highlight some good points about the company or the product.

This will give an idea to the reader that the customer or the employee is not of complaining nature. While writing any grievance letter, you need to follow the correct format and make your points clear. These letters should not sound rude and should be formal way of addressing the problems.

Grievance, problems and complaints can be one major concern at work place that may be raised by the employees with their employer. Grievance letters can be the best formal way to make complaints especially at work place. There is no legal binding process as to how to raise a handling or grievance at work. Nevertheless, you can follow some principles that you and your employer can observe.

In many situations even the best ones, something may go wrong at your work place. You may feel that your employer has made a bad decision with the terms and conditions of the employment. In such a situation you need to stand up for yourself. This can be done by writing a formal grievance letter. Make sure that you know about the terms of your contract of employment. You can express this grievance either with a verbal contract or a better way is to have this in written form.

Instruction for writing a grievance letters :

  • When writing such kind of letters you first need to know the effective of the grievance or in other words you should know how aggrieving the issue or you can handle it in simpler way. You have to know that that the complaint you make should be worthy of writing and see to it if these can be solved informally.

  • Facts of the situation should be written down and you need to give the proper detail as to how, what, who, where and when. If you have witnesses for the complaint make a list of them and give the proper contact information for each of them.

  • You need to determine the applicable part of the contract and if possible bargain about the agreement that was broken and not applied appropriately. You have a list of it then do mention each of them in section. For easy reference, you can list down the section and article number.

  • You could also mention the resolution of what you want from the grievance. Try to be reasonable and make applicable remedy if the situation is at hand. If the number of resolution is more then you can make a list depending on the priority order.

  • Use this layout and make the necessary preparation and be ready to write about the grievance. Remember one thing that it is important to stick to the facts of the case. Give a proper explanation about the problem and how it was violated with the terms of the contract and the bargain agreement.

  • Recheck the letter and keep it succinct and use proper spelling and grammar and punctuation.

  • Make the applicable timeframes and file your grievance. This is important because if you do not file the grievance within the specified timeframe then this may be rejected.

  • The last thing you need to do is to keep all the notes and evidence ready so that you can present it at the time when the case is being heard by an administrator.

Do include the contact information which includes your name, phone number and e-mail address in the grievance letter. This is given so that the concerned person can contact you for discussion and queries regarding the matter.
